Privacy policy

Updated: 11th June 2026

Hello! Welcome to Loonicorn. We create custom, beautiful stationery, vinyl stickers, and cards, and we take your privacy just as seriously as we do our designs. This policy explains what information we collect from you, why we need it, and how we keep it safe in line with UK data protection laws, including the UK GDPR and the Data (Use and Access) Act.

1. Who We Are

"Loonicorn" is the trading name of Louise King. Our physical place of business is located at: 16 Harewood Road, Harrogate, HG3 2TN

For the purposes of data protection law, Louise King is the "Data Controller" of your personal information. If you have any questions about this policy or want to exercise your data rights, you can reach us directly at loonicornuk@gmail.com.

2. The Information We Collect

Because we create bespoke stationery and custom items, we only collect the information necessary to fulfil your orders and give you a great experience. This includes:

  • Order Details: Your name, billing address, shipping address, email address, and phone number.

  • Customization Data: The text, names, logos, branding text, dates, and milestones you provide us to print onto your bespoke items (such as wedding details or business stationery).

  • Payment Details: Payment is processed securely via our trusted third-party providers (e.g., Stripe or PayPal). We use Secure Sockets Layer (SSL) software to encrypt sensitive information during transmission; we never see or store your raw credit or debit card numbers.

  • Website Browsing: Your IP address and basic information about how you use our website via cookies (see Section 6).

3. Why We Use Your Information (Our Legal Bases)

Under the UK GDPR, we rely on the following lawful reasons to handle your data:

  • Contractual Necessity: We use your name, address, and custom text to design, print, process payments for, and post your orders to you.

  • Our Legitimate Interests: We use your data to handle customer service enquiries, optimize our website, and send occasional marketing emails about new product drops to existing customers where you would reasonably expect it. You can opt out of marketing at any time.

  • Your Consent: If you explicitly sign up for our newsletter via our website signup box or popup, we use your email address based entirely on your consent.

4. Who We Share Data With

We respect your privacy and never sell your personal data to third parties. We only share it with essential partners required to run our business:

  • Delivery Services: Postal and courier services (such as Royal Mail or DPD) so they can deliver your physical packages.

  • Our E-Commerce Platform: Secure services used to host our online shop and process transactions.

  • Business Operations: Secure email or administrative marketing tools if you have explicitly opted into our newsletters.

  • Legal Obligations: If we are legitimately required to provide information for legal, tax, or fraud-prevention purposes.

International Transfers: Some of our platform providers process data outside the UK or European Economic Area (EEA), such as in the United States. We ensure these companies maintain strict data protection standards equivalent to UK law by utilizing approved legal safeguards, including Standard Contractual Clauses or the UK-US Data Bridge framework.

5. How Long We Keep Your Data

We will only keep your Personal Data for as long as necessary to fulfil the purposes we collected it for. We retain standard order details, invoices, and transaction records for 6 years to meet UK tax and accounting reporting duties. Custom design text, briefs, or digital proofs can be deleted sooner after your order is complete upon your request.

6. Cookies

Our website uses small text files called "cookies" to remember items in your shopping basket, keep you logged into secure areas, and help us analyze anonymous visitor data to keep the site fast and user-friendly.

Essential cookies run automatically to make the shop function. For any non-essential performance or marketing cookies, we will ask for your explicit choice via our website cookie banner when you first arrive. You can adjust your browser settings to decline or delete cookies at any time, though this may prevent you from using certain parts of our shop (like the checkout basket).

7. Your Legal Rights

Under the UK GDPR, you hold significant rights regarding how your data is handled. Exercising these rights is completely free of charge:

  • Right of Access: You have the right to request a copy of the personal data we hold about you.

  • Right to Rectification: You can ask us to correct or complete any inaccurate details.

  • Right to Erasure ("Right to be Forgotten"): You can request that we delete your data (provided it does not conflict with our legal tax retention duties).

  • Right to Object: You can object to us processing your data for direct marketing purposes.

To exercise any of these rights, please email us at loonicornuk@gmail.com. We will respond to your request within one calendar month.

8. How to File a Data Complaint (Our Formal Procedure)

If you have a concern or complaint about how we handle your personal data, we want to put it right as quickly as possible. In accordance with the Data (Use and Access) Act, we operate a direct, electronic complaint process:

  1. Please email your complaint directly to us at loonicornuk@gmail.com with the subject line "Data Privacy Complaint".

  2. We will send you an official acknowledgement that we have received your complaint within 2–5 business days.

  3. We will investigate the issue thoroughly and respond to you with a formal resolution without undue delay.

If you are not satisfied with our final response, you have the right to escalate your complaint to the UK's data regulator: Information Commissioner’s Office (ICO), Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF (www.ico.org.uk).

9. A Note on Custom Text

Because custom stationery often includes details about third parties (such as wedding guests' or business clients' names and addresses), by submitting this data to us, you confirm that you have the right or permission to share it with us so we can print your order.

10. Changes to this Policy

We may update this Privacy Policy from time to time to reflect shifts in technology or legal regulations. When updates happen, we will revise the "Last Updated" date at the top of this page.
